Privacy Policy for DiveWaiver
Wroomo, Inc. ("we," "us," or "our") operates the DiveWaiver mobile application (the "Application") and its associated web forms. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our Application.
By using the Application, you agree to this Privacy Policy.
1. Information We Collect
We collect information from Instructors (registered users) and Clients/Divers (individuals completing waiver and medical forms).
We process and collect personal and sensitive health data only after obtaining explicit consent from the user or client. Providing this information is entirely voluntary but required to utilize the document generation features of the Application.
A. Instructor Data
- Full name, email address, password
- Professional certification details (association, instructor number)
- Custom waiver text (optional)
- Signature (stored locally on the device)
B. Client/Diver Data
- Full name, date of birth, email, phone, address, citizenship
- Emergency contact information
- Diving certification details (optional)
- Photograph of the diver (taken by the instructor)
- Responses to standardized diving medical questionnaires (health and medical history)
- Signature (and guardian signature, if the diver is a minor)
- Photograph of the diver (taken by the instructor; stored strictly on the local device)
C. Precise Location Data
We collect precise GPS coordinates only at the moment the digital signature is applied. This information is embedded into the generated PDF solely for the Signature Verification metadata block. We do not use location data for tracking, analytics, or any other purpose.
D. Technical and Device Data
At the time of signing, we collect:
- IP address
- Device model and operating system
- Exact timestamp
- Application version
E. Health Data
Responses to medical questionnaires are collected strictly to generate the Liability Release and Medical Statement PDF. We do not use this data for diagnostics, profiling, marketing, or any purpose other than creating the required document for the Instructor.
2. How We Use Your Information
We use the collected information only to:
- Create and manage Instructor accounts
- Generate and digitally sign Liability Waiver / Medical Statement PDFs
- Provide the Signature Verification metadata
- Allow Instructors to manage their client records
- Synchronize necessary account and client profile data
3. Data Sharing and Disclosure
We do not sell, rent, or share personal data with third parties for marketing or commercial purposes.
- Client data is shared only with the specific Instructor for whom the form is being completed.
- We may disclose information when required by law or to protect the rights and safety of users.
4. Data Storage and Security
To facilitate the cross-platform workflow (enabling seamless data synchronization between the web-based forms and the mobile Application), client-submitted textual form data and instructor profile details are transmitted and synchronized via secure cloud infrastructure.
- Local Storage for Media & Documents: To ensure maximum data privacy, photographs of the diver, digital signatures, and final generated PDF waiver documents are processed and stored strictly on the Instructor’s local device. These media assets and final documents are never transmitted to or stored on our cloud servers.
- Security Measures: All cloud-synchronized text data is protected using industry-standard encryption protocols both in transit (SSL/TLS) and at rest.
5. Role of the Parties
Wroomo, Inc. acts as a service provider (data processor). Instructors are the data controllers for the personal and health data of their Clients. We process this data only on behalf of and according to the instructions of the Instructor.
6. International Data Transfers
As a company based in Delaware, USA, with users worldwide, personal data may be transferred to and processed in the United States and other countries. We take reasonable measures to ensure that such transfers are carried out in compliance with applicable data protection laws.
7. Data Retention and Deletion
We retain personal data only as long as necessary for the purposes described in this policy or as required by law.
Account and Data Deletion
Instructors can permanently delete their account and all associated client records directly inside the Application (Settings → Delete Account). To request data erasure externally, or if you are a client wishing to remove your form data, you can submit a formal deletion request via our dedicated web pathway at https://divewaiver.com/delete-account or by contacting us at support@divewaiver.com.
8. Children’s Privacy
The Application may process data of minors only when the form is completed with the explicit consent and signature of a parent or legal guardian. We do not knowingly collect personal data from children without such authorization.
9. Your Privacy Rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data. Instructors can exercise most of these rights directly within the Application. 10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy in the Application and on our website, and by updating the "Last Updated" date.
